corona virus update

It is timely to keep you updated on the current situation with regard to Coronavirs / COVID- 19 and how this relates to Lingwood Security Management and our employees.

We are taking the advice of the guidelines issued by the government, Public Health England and the NHS as these unfold over the coming weeks.

Unless we are advised otherwise, we plan to continue with all services in line with our standard operating procedures and obligations. In the event that we need to alter these plans we will take the appropriate action to mitigate any impact and communicate this at the soonest possibility.

We will share as much information as can about the virus and how this is affecting us and will send it on as soon as it has been issued by the government.

Please see below Security Briefing as the best advice to mitigate

Corona Virus Security Briefing

Please see below some guidance for Security Officers to mimimise the risk of transferring and contracting the Coronavirus

* Avoid handling ID cards and ask to see it only

*Avoid the transfer of signing in log books / pens by taking the details of the person and completing the record yourself

*wipe down surfaces with anti-bacterial wipes or soapy water before your shift handover. This includes security cabins and mobile vehicles

* Use your own pen and keep this with you at all times

*The government are advising that washing your hands with soap and water regularly is the best course of action. Wash hands for at least 20 seconds

* Always carry tissues and use them to catch coughs and sneezes, and bin the tissue. Ensure the bin is cleared and emptied before the shift handover

*Avoid touching eyes, nose and mouth without washing or sanitsing your hands first

*Avoid handshakes and close contact with fellow employees or others

NHS 111 has an online coronavirus service that can tell you if you need medical help and advise you what to do.

https://www.gov.uk/government/topical-events/coronavirus-covid-19-uk-government-response

Most of all our message to all our staff is not to panic. Though this is an unprecedented outbreak, by working together we will be able to sustain the already excellent service that you provide to our customers on our behalf.

Diester Points

Just a polite reminder to all staff about the importance of our lone working diester systems. On every site unless stated otherwise you need to be scanning diester points every 60 minutes. If you do not scan every 60 minutes this sends an alert to our control department. The clients also request a copy of the scanning points therefore if not done correctly they deduct money from our invoice which will need to be paid back by you.

Booking on / off seems to be coming a problem again! It causes our control department problems having to chase you up to see if you are on / off site. We will be monitoring this more closely and if continues we will be looking at measures to put in place to prevent.

Control Room Meeting 22/05/19

After a recent meeting with the control team it has been mentioned that the staff again are getting spoken to and treated badly when just trying to do their job. The controllers have a job to do which is to ensure all shifts are covered for our clients if you are unable to work certain days or timings they are not always aware what has been agreed with management.

Please ensure you treat the controllers with the respect they deserve and they will return that respect to you. The control staff are there to make decisions and the management team will stand behind their decisions if a controller asks you to do anything that is a reasonable request you must comply to that request.

Now and again the controllers will ring you and ask for your help - It is always fed back to the Directors who helps out and who does not. Please be aware that it does not go unnoticed.

We are always looking for people to come and work in our control department to see what it is actually like. If you are interested in giving it a go please contact Doc or Summer on 01524 852275

Vehicles:

Again we need to bring up the subject about vehicles! It has become apparent over the last few months, that the company vehicles are not being kept clean and tidy.  Before Christmas, each vehicle was valeted which was a costly outlay to the company.

Please would you all ensure you remove any, food, drinks bottles, wrappers and containers at the end of your shift ready for the next member of staff to use.  Please leave the vehicles how you would expect it to be left for you.

It is company policy that smoking in any of our vehicles is strictly prohibited.  Failure to comply, will result in disciplinary measures being taken against you and a fee for having the vehicle professionally valeted.

 Vehicle Abuse

The abuse of vehicles will not be tolerated! Staff sitting in vehicles leaving them idle for 30 minutes or more, speeding, harsh braking, harsh cornering and general abuse to the vehicles will not be tolerated any longer.

When driving you are to stick to the speed limits and drive with due care and attention at all times! All vehicles have tracking devices fitted and this will be getting monitored. Any person found to be not taking care of the vehicles will be dealt with by HR and will be charged for the maintenance and / or any damages that occur. If you have any questions about this then please speak to Doc or Ian.

 Inductions

It is your responsibility to ensure you are fully inducted on to the sites you are working on and been given the a full safety brief. If you feel you have not been given a thorough brief and induction please let one of our managers know.

PTS Training

Lingwood Security are always looking to enhance the training and skill set for our personnel and we are assisting our staff with the chance to complete PTS ( Personal Track Safety) Training.

PTS is a system of safer working practices employed within the United Kingdom designed to ensure the safety of railway workers who have to work on or near the line. As we are winning more projects with Rail companies this qualification is being requested more often.

If you are interested in further details such as the benefits in completing this training then please contact head office on 01524 852275.

MOBILE PHONES:

It is an offence to use hand held mobile phones whilst driving and may render you liable for prosecution.

You should note carefully that a breach of the Company’s rule on the use of a mobile phones whilst driving will render you liable to action under the Disciplinary and Dismissal Procedure, up to and including dismissal dependent upon the circumstances.

SMOKE-FREE WORKPLACE POLICY

It is the Company’s policy that all of its workplaces are smoke-free and that you have the right to work in a smoke-free environment.

Smoking is prohibited throughout the entire workplace with no exceptions. This includes the Company’s vehicles.

Failure to adhere to this policy will result in formal disciplinary action being taken against you, as set out in the Company’s disciplinary and dismissal procedures.

You should be aware that enforcement authorities can issue penalties and fines if you are found guilty of smoking in a smoke-free place. You will be personally liable for any fine or fixed penalty imposed for non-compliance.

  Minimum PPE ( Rail Contracts)

Just a quick reminder that the minimum PPE required on any rail projects is Orange Hi Vis Jacket, Orange Hi Vis Trousers, Safety Helmet, Steel toe cap boots. It is your responsibility to ensure you have this as a minimum before you step foot on to any site. If you need replacements or issuing any of these items please contact Liz on 01524 852275.

Site Event Logs:

Please can all staff working on sites, where we have site event log books, ensure that they are completed accurately and reflect what has occurred on site during your shift. At the moment we have staff who complete their log books well and others who need to improve this aspect of their work. As part of my role I audit the logs and expect to see the following recorded:

  1. Times of ALL check calls.
  2. Patrol times or the time you have logged onto your deister point.
  3. The fact a handover has taken place. If you can remind guards of their responsibility in relation to deister checks as part of the handover.
  4. Significant events i.e delivery of plant machinery, suspicious activity and anything else that you feel needs to be recorded.

These log books are very important and will be the first thing that is checked in the event of a theft, injury to personnel, any suspicious activity or other significant event. They are extremely important to both ourselves and our clients.

All Supervisors who attend sites should be checking the logs and advising people accordingly if they are not satisfied with the content. Remember if you sign the log you are acknowledging that you are satisfied with what has been recorded.

I appreciate all the hard work everyone is doing however my role is to ensure that we improve all aspects of our performance so we are continually improving.
